Step-by-step explanation of the commission process

Ask for a quote
Pressing the "Ask for a quote" button will take you to a form with all the fields necessary for us to determine the price and expected time-frame for your commission process.
Please fill-out the questionnaire as accurately as possible, because it will speed up the process and minimize the risk of potential discrepancies.

Get a quote
In a little while after receiving your request - we will send you a detailed quote covering every aspect of your commission. Any necessary adjustments may be made as well.

Quote approval
We'll be happy to help work out the best possible solutions for your commission. Some services may be added or removed, service tiers changed and etc. Feel free to ask anything about you commission - no matter how crazy the idea might seem. At that point we'll send you the commission contract for signing.

30% deposit is paid
As soon as you are happy to proceed with the quote, we will invoice you for 30% of the total quoted (incl. 100% for the model supply if you are going to purchase models through us, see "Model supply" below).

The work begins!
After we receive your models, either buying them from an authorized reseller locally or directly from you - dedicated painter (or painters) begin the work on your models. You will of course receive regular Work-In-Progress photos of your models to be sure that everything is coming along smoothly.

You receive completion photos of your models
As soon as the work on the models is complete the models will go through a thorough QC in our office, to determine that everything was done according to studio requirements and most-importantly your specifications. If all is well - we'll send you high-res photos of your models for approval.

Post-approval payment for the completion of the project is made
Along with the completion photos we'll send you an invoice for the remaining total amount to be paid. Upon receiving our email of completion, you will need to pay our final invoice within 14 days. See "Payment" below for more information. Any minor tweaks to the models can be made within this time-frame as well.

Shipping
As soon as your completion payment is received, your commission will be shipped to you in a secured and professionally packed box via the appropriate postal service, and you'll be provided with a photo of the box, a tracking number, and a link to track your commission.

Refunds & Order Cancellation Policy
Thank you for choosing vf.miniatures to bring your miniature visions to life! We understand each model is a precious part of your collection, and we're thrilled to be part of your creative journey. Here's how our commission process works to make the experience as smooth as possible for both parties.
Prepayment and Commission Start
To get the ball rolling, a 30% prepayment for all services (painting, assembly, etc.) is required. If we're purchasing the miniatures for you, those need to be paid for in full, upfront. Once we've got that, your commission officially kicks off!
Your Vision, Our Craftsmanship
Your creative input is invaluable to us. Throughout the commission, we're committed to closely following your references and instructions, always aiming to exceed expectations within the tier you've selected.
Room for Tweaks
Once your commission is complete, we're more than happy to make minor adjustments based on your feedback. What constitutes a "minor" change is at our discretion, as some tweaks may seem small but require a significant amount of work.
No Returns & Final Payment
We do not accept returns on completed commissions. Upon completion, we will send you photos of the finished models. After any agreed-upon minor corrections have been made, you'll be requested to pay the remainder of the quote before the miniatures are shipped to you. See "Payment" below for more details.
Refund and Cancellation Guidelines
The 30% service prepayment becomes non-refundable as soon as we begin your commission. Exceptions are:
  1. A documented, written agreement on a deadline that we fail to meet.
  2. A catastrophic mistake on our part that goes beyond the realm of artistic interpretation.
It's important to clarify that discrepancies between the final product and your original reference or instructions are not automatically deemed a "catastrophic mistake." Artistic interpretation is, after all, a subjective matter and is left to our discretion for final judgment.

We're excited to collaborate with you, and we thank you for entrusting us with your project. If you have any questions about this policy, please feel free to reach out.

  • Model supply

    If you supply models built - they will have to be fully assembled&cleaned according to our studio's standards (see Assembley&Cleaning).

    If any/all of the models are semi-assembled or base-coated, please let us know in advance.


    In case you decide to buy models through our studio - please indicate that in the corresponding field of the "Ask for the quote" form and we'll send you the total price of the models you have requested for commission. Please note that sometimes certain models may be unavailable for purchase - in that case we will notify you in the quote.


    Furthermore, keep in mind that commissions for which we obtain models locally usually take 2 weeks less to complete as opposed to commissions requiring us to wait for models to arrive at our studio.

  • Your Contract

    Upon approving your quote, the next step in our process is the contract. We send you the MINIATURE PAINTING COMMISSION AGREEMENT before any payment, outlining the scope, payment terms, timelines, and handling of unforeseen events.

    This ensures clarity and mutual understanding, safeguarding both parties. The contract details everything from the initial 30% deposit to final payment and project adjustments. It's our way of building trust and ensuring your vision is realized with utmost dedication.

    Once the contract is signed, we'll proceed with the 30% prepayment to officially start your commission.

  • Shipping

    Costs for postage are based on weight, parcel size, packing materials, and destination. We make sure that your postage charges are clearly laid out in your quote, and are included within the total price which we will use to calculate your 30% deposit payment and subsequent completion payment.


    Security and safety are our primary concerns, so all of our parcels are shipped tracked which guarantees your package will arrive safely and on time, with full tracking available for your peace of mind. All efforts are made to ensure your completed commission arrives to you in perfect condition, including the exclusive use of tracked shipping services worldwide and meticulous packaging of your models.


    Please be aware that once your parcel is processed by the post office, vf.miniatures studio is not responsible for any lost or damaged packages.

  • Payment

    We reserve the right to keep the models for recouping any losses incurred if the remaining payment is not received within 14 days of when we send you our completion email & photos.

    All payment extension periods, whether at the start of a commission or during, must be requested in writing or by email and agreed with us in writing. Any failure to comply with this is your own responsibility.
